Terms of use
Last updated 17 October 2026
Draft for review by Qonsort Limited. These pages are not a certification of legal compliance.
1. About these terms
These proposed terms cover BoardDates, operated by Qonsort Limited. They are a draft for review, not an executed service agreement. Any signed agreement with your organisation takes precedence where it addresses the same subject.
2. The service
BoardDates provides one authoritative place for an organisation’s board and committee meeting schedule. It is not a voting, attendance, document-storage or statutory-notice service. Your organisation is responsible for meeting content and for fulfilling its own governance and legal obligations.
Calendar exports are copies. Other calendar services may refresh slowly or retain old details, so check the BoardDates schedule and your administrator if details differ.
3. Accounts and administrator responsibilities
Use an email address you control and keep sign-in links, codes and calendar subscription links private. Do not share another person’s access.
Administrators must have authority to act for their organisation, keep dates and member permissions accurate, and have a lawful basis to enter personal information. Give members the relevant privacy information when adding them. Remove access when it is no longer appropriate.
4. Acceptable use
Do not use BoardDates unlawfully, attempt to access another organisation’s information, circumvent access controls, introduce malicious content or interfere with the service. Only enter information and links that you are entitled to share. Do not place sensitive personal information or confidential documents in meeting notes.
5. Content and confidentiality
Your organisation retains its rights in the content it supplies. The proposed permission to Qonsort is limited to using that content to operate and support BoardDates. Users should treat private meeting and membership information as confidential and share it only with authorised recipients.
Links to external meeting or materials services do not transfer control of those services to Qonsort. Their terms and access arrangements apply.
6. Availability and ending access
BoardDates may be interrupted by maintenance, faults or provider outages; this draft does not promise uninterrupted availability or a service-level guarantee. Contact us if you need a contractual availability commitment.
Your administrator can remove your organisation access. Account closure, organisation closure, export and deletion arrangements should be agreed with Qonsort. Removing access does not remove calendar copies already downloaded.
7. Responsibility and legal protections
Users should report incorrect meeting information to their administrator. Qonsort does not determine the organisation’s meeting dates or verify external links. Any proposed limitation of liability requires legal review and an appropriate organisation agreement; no financial liability cap is set by this draft.
Nothing in any final terms should exclude liability that cannot lawfully be excluded, including liability for fraud or death or personal injury caused by negligence, or override statutory rights.
8. Privacy and organisation agreements
See the privacy notice and cookies notice. Organisations may also require a data-processing agreement specifying instructions, confidentiality, provider arrangements, assistance with rights requests, security obligations, incidents and deletion or return of data.
9. Governing law and contact
The proposed governing law is that of England and Wales, subject to any mandatory rights and the final organisation agreement. Contact contact@qonsort.com or write to 56 St Williams Way, Norwich, NR7 0AP about these terms or the service.
